The checklist

Eight areas to review with every vendor

Ask each question of every ARM provider you are considering, and request the evidence in writing. Compare DAKCS against the same criteria. No vendor has been pre-scored here.

    Ask

    Which balances, histories, documents, statuses, and client fields can move? What cannot?

    Request

    A field mapping, an exceptions list, and a sample reconciliation plan.

    Collection operations

    Ask

    How are queues, assignments, triggers, and escalation rules configured?

    Request

    A demonstration of a sample workflow you agree on in advance.

  3. 03

    Client reporting

    Ask

    Can your required client reports and reconciliation outputs be reproduced?

    A sample report and the acceptance criteria it will be judged against.

    Communications and payments

    Ask

    Which tools are included, which are add-ons, and what dependencies apply?

    The scope, the vendor's responsibilities, and the configuration requirements.

    Controls

    Ask

    How are permissions, audit records, disputes, consent, and opt-outs handled where they apply?

    Request

    A list of the supported controls and the person accountable for each process.

    Integrations

    Ask

    Which exact systems and versions are supported?

    Request

    A confirmed connector or a documented integration scope.

  7. 07

    Rollout

    Ask

    Who owns test migration, training, acceptance, cutover, and contingency planning?

    Request

    Written responsibilities and an acceptance plan.

  8. 08

    Total cost

    Ask

    What are the software, add-on, implementation, support, and ongoing charges?

    Request

    A written quote that lists inclusions, exclusions, and assumptions.
